Department Description

The Finance Department of the University encompasses the Controller's Office and the Office of Budget, Treasury and Research Administration. These offices are dedicated to ensuring the integrity of data submitted, recorded and reported and to providing the highest level of financial services in support of the University's mission in Biomedical Research.

Detailed Description

Reporting jointly to the Vice President of Finance and the Assistant Director of Budget and Office Administration, the Office Administrator & Financial Analyst, will provide ongoing administrative support to the VP, assist with the annual budget process, provide support for the Finance Board Committees, prepare and track various financial analytics, and provide operational support to the Finance Office. Responsibilities include coordinating the VP's calendar, preparing expense reports, assisting in facilitating the University's budget process, including preparing laboratory budget meeting materials, scheduling annual budget meetings for each Head of Lab and Administrative Department Head, and providing technical assistance to laboratories as needed with regard to budget models, working with the Director of Financial Information Systems to maintain the office-wide document retention protocol and related electronic filing system, providing ongoing budget tracking metrics to the VP of Finance and Assistant Director of Budget and Office Administration, and providing support in coordinating the Finance board committee meetings, including scheduling, material preparation and mailing, and arranging meeting logistics. Will prepare and track various financial analytics, including debt service payments, tax compliance, and sponsored research and private use monitoring, assist the VP of Finance with the maintenance of the university's mortgage files, facilitate office procurement activities including all equipment and office supplies, managing and monitoring service contracts and requests, and coordinating Finance Office staff development activities and other celebrations. Will be responsible for monitoring and recording staff vacation and sick leave and providing ongoing support as requested to the Assistant Vice President, Budget and Treasurer and the Office of the Controller.

Job Requirements

Bachelor's degree required. Must have prior administrative experience providing support to executive management, proficiency with the Microsoft Office Suite, as well as financial/analytical experience. Must possess strong organizational and communication (written and oral) skills, the ability to multi-task effectively, and a professional demeanor.
