Organization Overview
The Office of Sponsored Programs Administration oversees the administration, compliance, and documentation of sponsored programs for The Rockefeller University, and works towards furthering the University's research enterprise.
Overview
The position requires working closely with all OSPA areas, and collaborates with department leadership and others on areas such aswebsite maintenance, various reports, RAS-Grants, monthly statements of expenditures, award logging and follow-up, and other ongoing efforts and procedures.
Responsibilities
Whole department support:
RAS-Grants-generated reports and reminders; RAS-Grants SSL certificate maintenance
validation reports
progress report alerts setup
SSL certificate implementation in conjunction with RU-IT
Assist with system testings as needed
Update the resadmin email group for internal mailings
Maintain professional memberships/subscriptions
Maintain shared calendar
Maintain personal/vacation time
Answer central phone//take messages
Email out broad communications (e.g. TCN events, ResAdmin forum invites, TIPS)
Take Minutes of staff and other meetings
Manage new/departing members accounts and related steps
File maintenance
Assist with account setup in institutional and sponsor systems
Update email marketer with new hires/terminations (each Monday)
OSPA space maintenance, working with vendors (e.g. custodial, other campus services; water cooler; copier/scanner; etc.)
Order all office supplies and maintain OSPA inventory (laptops, desktops, etc.)Process check requests, petty cash, and travel reimbursementsOther efforts as needed.
Pre-award support:
- Assist with budget preparation for upcoming proposals on an as-needed basis
Post-award support:
Assist with award receipt documentation and distribution
Maintain award notice logs and copies in Dropbox and RAS-Grants
Update and send reminders on terms and conditions and conflict items, corresponding with the Office of Technology Transfer and Office of General Counsel as needed
Assist with FFATA reporting
Qualifications
Bachelor's degree required. Experience working in a fast-paced office environment with varying constituents required. Must have the ability to plan, organize, coordinate, and perform work in various situations with numerous and diverse demands. Must be able to work successfully as both a member of a team and independently with minimal supervision. Must be professional while interacting with a diverse group of staff, faculty, students, and the community in an academic-oriented environment.
